Packing for a new office is an exciting and nerve-wracking experience. Exciting because a new office brings a new start and a fresh first impression. Nerve-wracking because moving inevitably creates unknowns. No one particularly likes the process of packing. However, with these tips, you can make your office relocation moving day go smoothly.
1. Get Rid of Unnecessary Items
The first step to getting ready for your relocation is to get rid of unnecessary items. This may seem like a simple and obvious checklist item, but you’d be surprised how many people forget it or neglect it! Remove antiquated technology (i.e., an old printer that you haven’t used in six months), excess furniture, housewares, and old files/folders/documents that you can access online or retrieve from your new office. Basically, remove the items that aren’t absolutely essential for work.
2. Plan Your Packing List
Enlist the help of your employees and work as a team to create a simple packing list. Please make this an open-ended task where you ask them to list out anything they think they’ll need for their role at the new office. You can always add or remove items from the list as necessary, but it’s important to start with a list from your employees so you can incorporate their suggestions and needs into the relocation.
3. Pack Your Electronics Carefully
Begin by backing up all your electronic files and documents (from both work and home) online. Then, pack these items carefully:
- Computers: Computer boxes can be purchased at a local hardware store or at the office supply store. When you’re packing your computer, keep it upright and cushioned by adding padding underneath and around it. Use dividers to separate the computer from any loose accessories.
- Mobile devices: Mobile devices are more sensitive than they look, so it’s important to be gentle when packing them. Create an inventory list of all items in your mobile device case (i.e., phones, smartwatches, tablets). Place these in their own box and label them accordingly.
- Cords/cables: Place cords and cables in a specially designated cord bag. Label the outside of the bag with all the contents inside. This makes it easier to locate cords later on when you’re unpacking.
Computers, photocopiers, and other office equipment account for approximately 20% of the things that a company relocates, so be proactive about these types of items.
4. Pack Office furniture With Care
Start by disassembling any office furniture that has removable pieces. Then, package the pieces in a way that makes sense for their size and weight. Use protective padding on all sides of larger items before putting them in the moving truck.
5. Use a Partner to do Heavy Lifting
Packing up an office, especially a larger one, can result in a lot of heavy lifting. Make life easier on yourself by using a moving partner or hiring professional moving packers. This way, you can focus on properly packing your items and won’t need to worry about anything getting damaged.
Moving day can be one of the more stressful days in your career. However, with a little planning and a few simple tasks, you can keep the process as straightforward as possible. Remember to start early as it will take time to pack up an office.
